How DenMat took card data out of dental phone orders with Paytia

DenMat uses Paytia to take phone orders from dental practices without card data entering its environment. A US dental products and laboratory case study.

The challenge

When a dental practice needs to order a porcelain crown restoration from DenMat's laboratory, or restock a product line, someone at the front desk rings in. DenMat's order-taking staff work through the specification, confirm the job, and then it's time to pay. DenMat is a dental company based in Lompoc, California, with around 450 staff. The business supplies dental practices across the US with products, laboratory services and dental education. A significant portion of that business runs over the phone — practices ring to place orders, check on lab work, and pay for what they need. The trouble was how payment happened. When a practice called in to pay, they'd read their card number over the phone and staff would process it — a workflow that put card data directly into DenMat's environment and into PCI scope. In the US market, where card data handling carries real consequences, getting card numbers off the phone channel was overdue. DenMat runs its payments through Curbstone and Braintree, with an annual SIP service maintenance arrangement in place. They needed a solution that worked alongside that setup, not instead of it.

The solution

Paytia sits alongside DenMat's existing Curbstone and Braintree gateway path without replacing it. When it's time to pay for a product order or laboratory job, the dental practice keys their card number on their own phone keypad. DenMat's order-taking staff stay on the call while the payment goes through, but with DTMF masking the digits are never heard and never enter DenMat's environment. The Curbstone and Braintree gateway path handles the payment, just as before.

The results

Card data is off DenMat's phone channel. Dental practices key their own details while staying in conversation with the order desk, and neither the card number nor any part of it passes through DenMat's environment. The Curbstone and Braintree gateway path is unchanged, and the annual SIP service maintenance arrangement covers ongoing support.
